How do you avoid double bookings?
Use one source of truth
Every team member should check the same calendar before offering a date. Personal calendars and private messages may support communication but should not confirm separate bookings.
Separate the statuses
- request received;
- temporary hold with expiry date;
- agreement or contract pending;
- concert confirmed;
- cancelled, postponed or unavailable.
Every entry needs an owner and a record of the latest decision.
Use the NoyzHub agenda
The venue agenda brings public concerts and private notes together. Notes can represent a hold, private hire, maintenance or unavailable day, while confirmed concerts remain public.

Check before confirmation
Review the full date, load-in and load-out times, multi-day events, private hires and turnaround periods. Require approval from one designated person before final confirmation.
Manage changes
Remove or archive expired holds. When a show moves, update it immediately and notify everyone involved. A short weekly calendar review prevents old information from becoming a ghost booking.
